SendToTeam + Gmail Integration

SendToTeam connects to Gmail through Google's OAuth 2.0 flow, requesting the gmail.compose and gmail.readonly scopes. This means your AI employees can read existing threads for context and create new draft messages, but they never gain access to modify account settings or delete emails. When you authorize the connection, Google shows exactly which permissions you are granting, and you can revoke them anytime from your Google Account security page.

Deliverability is the main concern when automating any email workflow through Gmail. SendToTeam enforces per-account rate limiting well below Gmail's daily caps (2,000 messages for Workspace accounts, 500 for free Gmail). Outbound messages are spaced using configurable delays between sends, and AI employees follow formatting practices that reduce spam filter triggers: plain-text fallbacks, reasonable link counts, and personalized opening lines that avoid templated patterns ISPs flag.

Here is how a typical outreach workflow runs: your AI employee reads a prospect list from a connected CRM or Google Sheet, pulls each contact's name, company, role, and any prior interaction history, then drafts an email referencing those specifics. For example, if a HubSpot contact's last activity was attending your webinar, the draft opens with a reference to that event rather than a generic "hope this finds you well." Each draft appears in your SendToTeam review queue, and only after you approve does it move to Gmail's outbox.

The integration works with Gmail labels, aliases, and multiple inboxes. A sales team running three prospecting inboxes can assign separate AI employees to each, with independent tone and context settings. Support-focused workflows can use label-based routing: incoming messages tagged "billing" go to one dedicated assistant for triage, while "partnership" goes to another. You can also connect personal Gmail accounts alongside Workspace accounts within the same SendToTeam organization.

For teams that send fewer than fifty personalized emails per day, the free Gmail tier is sufficient. Higher-volume teams should use Google Workspace, which provides higher sending quotas, shared contact directories, and admin-level visibility into connected OAuth apps via the Google Admin console.
