The Zapier integration extends SendToTeam's reach to any app in Zapier's directory — currently over 7,000 — without requiring custom API work. SendToTeam publishes a set of triggers and actions on the Zapier platform. Triggers fire when events happen in SendToTeam (draft approved, task completed, report generated). Actions let external events create tasks, assign AI employees, or pass data into SendToTeam workflows.
On the trigger side, the most common use case is post-approval routing. When you approve an outreach email in SendToTeam, a Zapier trigger fires with the email content, recipient, and metadata. A multi-step Zap can then log the send in a CRM that does not have a native SendToTeam integration, update a project management card, and post a summary to a team channel — all automatically. This bridges the gap between SendToTeam's native integrations and the long tail of tools your team uses.
On the action side, external events become AI employee task triggers. A new row added to an Airtable base triggers the assistant to draft an outreach email for that contact. A new Typeform submission triggers the assistant to draft a personalized follow-up. A new Calendly booking triggers the assistant to prepare a meeting brief. Each incoming event passes structured data that the assistant uses as context for the task.

You approve the email, which triggers a second Zap that logs the interaction in Pipedrive, creates a Trello card for the sales team, and adds the prospect to a Mailchimp nurture sequence. Zapier's free plan supports single-step Zaps with 100 tasks per month — enough for testing. Production workflows typically need the Starter plan or higher for multi-step Zaps and higher task volumes. Instant (webhook-based) triggers require the Professional plan and eliminate the polling delay that the Starter plan's 15-minute interval introduces.
