SendToTeam connects to Airtable using a Personal Access Token that you create in your Airtable account settings. During token creation, you select which bases and scopes (read, write, or both) the token grants access to. This means you can give an AI employee read-write access to your "Leads" base and read-only access to your "Content Calendar" base, while keeping your "Finance" base completely inaccessible.

Airtable's relational structure — linked records, lookups, rollups — is what makes this integration powerful for outreach. The assistant drafting an email does not just read the contact's name and email from the Leads table. It follows a linked record to the Companies table to get the company size and industry, checks a rollup field that counts previous interactions, and reads a lookup field that shows the last email subject line sent to this contact. The resulting draft references all of this context naturally.

A practical workflow for a recruiting team: you maintain an Airtable base with a Candidates table (name, email, role applied, skills, interview stage) linked to a Positions table (job title, department, hiring manager, salary range). Your automation assistant queries candidates in "Phone Screen Scheduled" stage, reads the linked position details, and drafts a confirmation email that includes the role title, interviewer name, and preparation tips relevant to the position. Each draft reflects the specific candidate-position pairing rather than a generic template.

Airtable views and filters constrain what the assistant sees. If you create a view filtered to "Status = Ready for Outreach" with a sort by priority, the assistant processes records in that exact order and ignores records that do not match the filter. This gives you granular control without modifying your base structure or creating separate tables.

Write-back capability keeps your base current. After drafting outreach for a contact, the assistant updates the record's Status field to "Draft Sent" and writes the draft timestamp to a Date field. After you approve and send, it updates Status to "Outreach Sent." Your Airtable base becomes a live workflow tracker that updates itself as tasks progress.

When this may not be the right fit

Airtable's API is limited to 5 requests per second per base. The integration reads a maximum of 100 records per API call (Airtable's pagination limit), so bases with tens of thousands of records require multiple paginated requests. Attachment fields are read (URLs) but not uploaded to by AI employees. Airtable's free plan limits bases to 1,000 records per base, which may constrain large-scale workflows.
